Writing Scientific English

In 1992, I started to teach “Writing and Speaking Scientific English” at the University of Vienna. My qualifications included English as a native tongue as well as experience of writing my own scientific manuscripts and correcting those of others. I had also given some scientific talks and listened to considerably more. That was all. I was ignorant about how to begin teaching scientific English.

I had no idea about the specific problems faced by the students, whether I should take their scientific and cultural backgrounds into account or how I should go about improving their standard. Somehow, the students and I survived and profited from the first course. During that first course and later in subsequent ones, I came to recognise that the students, independent of their various scientific and cultural backgrounds, shared many common problems in writing scientific English.

To address these problems, I developed a series of guidelines and exercises to turn, as rapidly as possible, the students’ school English into the formal English required for scientific texts. These guidelines and exercises, modified over the years to incorporate ideas on avoiding plagiarism, form the first part of this workbook.

The second part of this book uses work from former students to illustrate how to improve the first draft of a scientific text. This skill, essential to scientific writing, is one that almost every student who has taken the course needed to reflect on and to practise. I know from my own experience how difficult it is to improve a text written in a language other than one’s native tongue. I hope that the exercises will be an asset to the reader in becoming proficient in improving scientific texts in English.

Aim of the book and coverage

The book is aimed at postgraduate students, Ph.D. students, and researchers whose first language is not English. It is assumed that you have already reached a sufficient level of English to write a research paper, thesis, or dissertation.

The book covers all the writing skills that will help you to get a positive reaction from the reviewers of your manuscript and thus improve your chances of publication. When reviewers say that the level of the English in a manuscript is ‘poor’, they are often referring not to grammar or vocabulary issues but to readability problems (see the second section on page vii), such as poor structure, sentences being too long, redundancy, and ambiguity.

All these problems, and many more, are dealt with in this book. Structure of the book, self–study, and classroom use Sections 1 – 9 of the book practice particular writing skills. Section 10 brings all these skills together in exercises on writing specific sections of a manuscript – from the Abstract to the Acknowledgements. Around half of the exercises in Sections 1 – 9 can be done rapidly, without the aid of a teacher. They are thus suitable for self-study. Other exercises require you to write extended pieces of text, which you will need to have corrected by your teacher or a native speaker of English. Each chapter begins with cross references to other books in the series (see the first section on page vii).

The Elements of Style

The Elements of Style is an American English writing style guide in numerous editions. The original was composed by William Strunk Jr. in 1918, and published by Harcourt in 1920, comprising eight “elementary rules of usage”, ten “elementary principles of composition”, “a few matters of form”, a list of 49 “words and expressions commonly misused”, and a list of 57 “words often misspelled”. E. B. White greatly enlarged and revised the book for publication by Macmillan in 1959. That was the first edition of the so-called Strunk & White, which Time named in 2011 as one of the 100 best and most influential books written in English since 1923.[2]

In The Elements of Style (1918), William Strunk concentrated on specific questions of usage—and the cultivation of good writing—with the recommendation “Make every word tell”; hence the 17th principle of composition is the simple instruction: “Omit needless words.” The book frames this within a triplet credited to an influential lecturer:

Omit needless words
Use active voice
Use parallel construction on concepts that are parallel[9]

The 1959 edition features White’s expansions of preliminary sections, the “Introduction” essay (derived from his magazine feature story about Prof. Strunk), and the concluding chapter, “An Approach to Style”, a broader, prescriptive guide to writing in English. He also produced the second (1972) and third (1979) editions of The Elements of Style, by which time the book’s length had extended to 85 pages.

The third edition of The Elements of Style (1979) features 54 points: a list of common word-usage errors; 11 rules of punctuation and grammar; 11 principles of writing; 11 matters of form; and, in Chapter V, 21 reminders for better style. The final reminder, the 21st, “Prefer the standard to the offbeat”, is thematically integral to the subject of The Elements of Style, yet does stand as a discrete essay about writing lucid prose.[3] To write well, White advises writers to have the proper mind-set, that they write to please themselves, and that they aim for “one moment of felicity”, a phrase by Robert Louis Stevenson.[10] Thus Strunk’s 1918 recommendation:

Vigorous writing is concise. A sentence should contain no unnecessary words, a paragraph no unnecessary sentences, for the same reason that a drawing should have no unnecessary lines and a machine no unnecessary parts. This requires not that the writer make all his sentences short, or that he avoid all detail and treat his subjects only in outline, but that he make every word tell.

Strunk Jr. no longer has a comma in his name in the 1979 and later editions, due to the modernized style recommendation about punctuating such names.

The fourth edition of The Elements of Style (2000), published 54 years after Strunk’s death, omits his stylistic advice about masculine pronouns: “unless the antecedent is or must be feminine”.[12] In its place, the following sentence has been added: “many writers find the use of the generic he or his to rename indefinite antecedents limiting or offensive.” Further, the re-titled entry “They. He or She”, in Chapter IV: Misused Words and Expressions, advises the writer to avoid an “unintentional emphasis on the masculine”.[13][14]

Components new to the fourth edition include a foreword by Roger Angell, stepson of E. B. White, an afterword by the American cultural commentator Charles Osgood, a glossary, and an index. Five years later, the fourth edition text was re-published as The Elements of Style Illustrated (2005), with illustrations by the designer Maira Kalman. This edition excludes the afterword by Charles Osgood and restores the first edition chapter on spelling.

We communicate because we need to. All of our social and economic structures depend on it. Our spoken languages are very powerful and flexible:

before people invented writing, speech was the only way to pass on wisdom, history, stories, skills and ideas from one generation to the next. Human societies managed with speech alone for thousands of years. Spoken language has its limits, however. As soon as humans got involved in large-scale activities, including business, they found they needed something more.

Suppose you have made a contract with a farmer to buy 20 pigs in six months’ time, providing 100 lengths of timber in payment. How do you record the details that you have agreed? If there was only one such contract, you would probably state the terms in front of witnesses, so that everyone concerned would remember them. The room for disputes about what precisely was agreed would then be small. But no-one would trust human memory to recall the exact details of 20, or 100, contracts.
